Description:

Reporting to the Director of Operations, the main focus of this position will be responsible for processing out of province applications for the organization, the main duties within this process will include:

         Understand, interpret and abide by the registration process outlined in the Policy and Procedure Manual and Organizational Regulation and Standards of Practice.

         Assess Out of Province applications within 10 business days of the file being completed, and direction provided to applicant.

         Update and monitor education requirements and expiry dates of applicants.

         Counsels registrants and applicants regarding registration application processes and other inquiries.

         Review and edit forms relative to out of province and other relevant registrations processes as required.

         Recommend and prepare website content and Industry Magazine content for relevant registration content.

         Maintain communication tracking mechanism for registration including various reports within established time lines.

         Maintain monthly and quarterly statistics for number of applications and location of applicants received, in process and that have obtained license.

         Collaborate in the development and revisions of the procedure manual for relevant registration process.

         Back-up for receptionist including help answer phone calls that cannot be answered by the Receptionist, training of Receptionist and assist Receptionist when guests, couriers, Canada Post come into the office.

Qualifications: The ideal candidate should have the following qualifications and skills in order to successfully fulfill this position:

         Post-secondary education in the Administrative field from a recognized educational institution would be an asset;

         2 – 3 years of consistent administrative experience within a professional working environment;

         A proficient knowledge of Microsoft Word, Excel and Outlook;

         Accurate and speedy data entry and typing speed (45/wpm minimum);

         Excellent communication skills both written and verbal along with a professional manner and appearance;

         Demonstrates the necessity for and maintains confidentiality when knowledge or information requires.
